Do Yun headed out to the door thus she hurriedly followed.
As soon as they arrived in the office, Do Yun went straight to his desk closing the door behind him. Amor checked her email and she was instructed to create an effective administrative procedure for the company.
Administrative procedures are a vital component of any efficient office. Amor is not yet an administrative professional but she already understands she should have a procedures binder, but she still struggles with how to get it started. She makes sure that the company's documents are perfectly formatted and beautifully typed to qualify as a procedure. Using a template to also capture her handwritten procedure help keep it structured and consistent, especially if she doesn't have time to type them up immediately. When she creates her procedure, she carefully thinks about each step she takes to complete it. She makes sure she is specific without being excessively wordy. She also numbers the steps that need to be completed in a specific order. To make her procedures even more effective, she creates a graphic or visual, such as a screenshot, of computer-related tasks to accompany the printed or written instructions. The best way to know if her procedures will work is to have Do Yun test them out. To help her better understand if her procedure is effective or not, she shows him examples of two different administrative procedures binders of a mail sorting procedure.
After a while, he called Amor in and she immediately heeded his request.
When Amor entered his office, Do Yun was looking outside the window unsure how to call his attention she just cleared her throat. Do Yun then turned around to acknowledge her presence, "Take a seat."
"Uhm..... thank you, Mr. Kim."
"Have you created an effective administrative procedure for the company already?"
"Ah..... yes Mr. Kim I will show you examples of two different administrative procedures binders of a mail sorting procedure."
Example 1: sorting the incoming mail
•All incoming bills, bank statements, invoices, and payments– route to accounting.
•All incoming trade magazines and trade show flyers– route to sales and marketing.
•All incoming resumes and interview thank you notes– route to HR.
•All incoming contracts– route to legal.
•Any office equipment or office supply mail– leave in my inbox.
Example 2: sorting the incoming mail
Contracts
•Photocopy the incoming contract.
•Three-hole punch the photocopied contract and put them in the executed contracts binder on the third bookshelf inside the office door of HR.
•Forward the original contract to Legal.
Bank Statements
•Open the envelope.
•Stamp the statement with the date received stamp.
•Forward the statement to accounting.
Trade Publication, Trade Show Flyers, or Marketing-Related Mail
•Forward to marketing.
Invoices (Accounts Payable)
•Open the envelope.
•Stamp the invoice with the date received stamp.
•If it's an office supply or equipment-related invoice, verify that the amounts and charges match what we anticipated for the month. Refer to my office supplies folder to match my individual order confirmations with the monthly statement.
•Initial the amount.
•Forward to accounting.
"If you have any questions regarding routing, contact me; for every section of the mail sorting procedures I've shown you, this is probably the most important."
"The former is a bit generic and the latter is more specific, but the former is good enough. You see creating effective procedure isn't complicated, especially once you get into the habit of documenting each task."
"Oh..... thank you, Mr. Kim."
"I need you to complete all your tasks early today then go to the Admissions Office of the school so that you can finish all the admission requirements."
"Uhm..... yes, Mr. Kim."
"Close the sliding door behind you, I'll call when I need you."
"Ah..... okay Mr. Kim," Amor hurriedly stood up with no chance to protest and closed the sliding door behind her that separated both of their workstations.
After a few hours, Amor was able to successfully complete all her tasks for today and is now ready to leave for school. Standing outside Do Yun's door, she leaned her right ear to check if he is busy but could not hear anything. "Is he still busy?" she asked herself. Pressing her lips, she lightly knocked thrice and slowly opened the sliding door, without waiting for an invitation she stepped inside and closed the door. Do Yun looked busy in front of his computer thus Amor slowly opened the door again but he called her attention, "Are you about to leave now?"
"Oh..... yes Mr. Kim, I was just trying to ask permission to leave."
Do Yun gestured for her to leave thus she hurriedly closed the sliding door behind her.
As soon as Amor arrived at the school bad weather was already brewing up in the sky since cirrocumulus clouds are starting to appear and are typical of an advancing low-pressure system, "It should not rain that hard shouldn't it?" she thought. Since she is enrolling as a freshman student, she needs to submit the following requirements after the enrollment, within the semester she is enrolling:

While the Admissions Office is screening her documents rain has started to come in like the beginning of an orchestrated rhythm. There have been a few students lining up to pay for their enrolment fee while a towering cumulus cloud-like has developed in the sky and is a sign that a powerful thunderstorm is coming within an hour, "I need to finish everything here before the storm comes," she told herself. The registrar is still evaluating the subjects she chose to take up next school year when heavy rainfall started to rattle through like a couple of rowdy frames at the bowling alley. The college/department finally approved the subjects that she will take next school year but the thunderstorm has already lasted for 30 minutes but it's still violent, "If this goes on for another 30 minutes surely the streets will be flooded already," she thought. The MIS has now plotted in the enrolment form her subjects' offer code for them to print out the study load if no conflict found in the schedule on the other hand the thunderstorm has now turned into a scary storm. To complete the last step of enrolment Amor has now secured her student identification card but the streets outside the school have now been flooded and it's overwhelming her, "I guess I'll be here for a while, I'll let Mr. Kim know of my whereabouts then," she told herself and took her tablet and dialed Mr. Kim's number. After a few rings, someone answered on the other line.
"Hello, Mr. Kim?"
"Hello, Amor?"
"Yes, it's me."
"I'm on my way home, where are you now?"
"Well, I'm done with my admission requirements but I'm still stuck here in school due to heavy rain and flood."
"Good, you know your way home right?"
"Oh..... yes Mr. Kim," and Do Yun ended the call.
"He didn't even bother to offer to pick me up," she thought and let out a sigh.
Stuck in school but she still has this feeling down deep in her soul for Do Yun that she just can't seem to know how to lose.
