Unable to move her whole body Amor only managed to move her head backward, "Uhm..... Mr.....," she stuttered but Do Yun just leaned his head forward closer to Amor's. Finally able to move her body Amor managed to take a step backward, "Mr..... Mr. Kim.....," she stuttered but Do Yun also took a step forward meeting her gaze.
"Something's wrong," he whispered. Amor is not sure if that was a statement or a question but her heart is beating again like a drum with a thunderous noise it could ever make as if she is going to war and with Do Yun just inches away from her she dare not let him hear it.
"Ah.....," she exclaimed. "I'm sorry Mr. Kim," and she took 2 steps backward this time and looked away from his gaze. Do Yun straightened up and headed to the door, "Ugh....." Amor silently sighed. She was annoyed at herself and made sure she kept an arm's length this time while following behind Do Yun.
As soon as they arrived in the office, Do Yun went straight to his desk closing the door behind him. Amor checked her email and it seemed that he already listed the things she needed to do for the day:
1. Book the venue for both the event and the conference. Look for available venues that match our requirements.
a. Good for a small event and relatively cheap to hire.
b. Not a too-small venue where everybody has to squeeze into a tiny room
c. Better to pick a somewhat secluded location so that participants are better able to focus on the conference itself. Best if the venue has calming, picturesque surroundings to help people relax.
d. The vibe of the venue should suit our audience and theme.
e. The venue should have a proper layout
f. Include catering inside the venue and keep in mind any special dietary requirements: vegan, kosher, nut-free, etc.
g. Make it easy for participants to travel to the venue by public transport and there should be enough parking spots for those who drive.
h. The venue should have the right IT, audio, and video equipment. We'll need projection screens, microphones, plenty of charging spots for participants, and---of course---solid WiFi access.
i. Try to arrange for early access to the place so that we can do a "dry run" or a walkthrough with our team prior to the event and conference. We should be able to ensure that every detail is in place before the big day.
Good thing she only needs to coordinate with the planning team and make sure to send Do Yun an update in 4 hours' time.
It's already lunchtime and she still did not receive any response from Do Yun about the report she sent, "I might just take my lunch then," she told herself. She sent a message telling him she is now out for lunch but still no reply.
She went to the pantry and found a single table in the middle, "What does he like to eat?" she thought. Looking around the food stall she noticed bopis (red meat and meat innards, and its veggies include carrots, tomatoes, chilis, and onions), "I heard Koreans like spicy codfish stew," she told herself.
When she got back into the office, the sliding door is still closed. Standing outside the door, she leaned her right ear to check if he is busy but could not hear anything. "Is he still inside?" she asked herself. Pressing her lips, she was about to knock on the door but her phone beeped and when she checked there is an email from Do Yun:
We need to decide on what type of refreshments we want to offer and how many breaks there'll be for food. Reserve up to an hour for lunch and a few 15-20 minute breaks for coffee and snacks. Remember: If there's room in our budget, it's always best to go for proper hot meals instead of sandwiches when it comes to lunch. We want to be sure that the catering company can handle the logistics on the day of the event. Our best bet is to find a local company close to the conference venue to avoid potential traffic-related issues and delays. Don't forget to check how far in advance the caterer needs to know the menu and any special dietary requirements. Think about any other external vendors we might need, such as a decorating company or suppliers of special IT equipment.
The speakers are the stars of our conference. We want a solid lineup in order to attract attendees and guarantee a professional experience. One sure way to gain traction here is to first secure one big-name speaker. Someone who is very well-known and respected within the field. This will boost our credibility in the eyes of other potential speakers and make them more likely to sign up. Start looking for thought leaders that focus on the same themes as our conference. Create a prioritized list of potential speakers you'd like to invite. Then start making those calls and writing those emails.
A few things to address:
Compensation: Do they require a speaker fee or other forms of compensation to participate?
Supporting equipment: Does their presentation rely on specific IT equipment or other props?
Special requirements: Do they have specific dietary preferences? Will they need to have transportation and accommodation arranged for them?
Work through your list as you gradually fill up the allotted time slots with quality speakers.
But don't throw away that list just yet! We want to have plenty of backup speakers in case some of our first-priority ones cancel. We should always have a Plan B.
You can also consider recruiting some local speakers. We'll save on transportation and lend an air of authenticity to the conference.
Between Do Yun's priorities and bopis Amor dared not to disturb him anymore and just went on to delegate the tasks to the administration team since they only have 5 hours left to complete the update.
It's way past lunchtime already and Do Yun has not taken his lunch yet which worried Amor, "Should I offer him the food?" she thought. Standing outside his door again, she lightly knocked thrice and waited for a response but there was none. "Is he okay?" she asked herself. She slightly opened the sliding door to take a peek but Do Yun was not on his desk thus she slowly went inside and found him lying down on the office sofa bed. "Is he asleep?" she thought. She tiptoed her way to his desk so as not to make any noise and placed the food on the table. Her eye caught a glimpse of a digital album on his shelf and found herself lost in looking at the pictures. There were baby pictures, children's pictures, grown-up pictures, "Are these all pictures of him?" she asked herself smiling.
"What brings you here?" a voice from behind suddenly appeared.
"Oh....." Amor got startled to hear Do Yun's voice that she immediately turned around not knowing that he was just right behind her and now they are just 3 inches away facing each other she could even hear his breathing.
No matter how hard she tries to hide what she feels inside it is now so plain to see in his eyes.
